Vokalith ("Vokalith," "we," "our," or "us") is operated by DecryptCode INC, an AI systems engineering company based in White Plains, New York. This Privacy Policy explains how we collect, use, share, and protect information when you visit www.vokalith.ai, submit a demo or briefing request, or otherwise interact with our marketing website.
Vokalith provides HIPAA-ready pre-evaluation medical-history intake powered by Aeris, configured and deployed for clinics, insurance partners, and evaluation offices. Use of the production platform by customers is also governed by customer agreements and, where applicable, a Business Associate Agreement (BAA). Website use is also subject to our Terms of Service.

Our Role
Website and sales inquiries. When you visit this website or submit a form, DecryptCode INC acts as the organization responsible for that personal information.
Customer platform deployments. When a customer uses Vokalith to interview patients or process medical-history and related operational data, the customer typically determines the purposes of processing. In those deployments we act as a technology vendor and, where required, a business associate under HIPAA, subject to the customer agreement and BAA.

That data is processed under the customer's instructions and applicable agreements (including a BAA when required).

Client Deployments & PHI
Vokalith is a configurable platform that may be set up and deployed differently for each client organization. Interview content, medical documents, and claim or evaluation reports may constitute protected health information (PHI) or other sensitive data when used in healthcare workflows.
- Infrastructure and data environments may be managed by Vokalith or the client organization, as agreed in writing.
- Clients may control certain operational, storage, and retention configurations.
- We offer a Business Associate Agreement (BAA) for customers who require one, and work under BAAs with key processors that handle PHI.
- Clients remain responsible for their own compliance obligations related to their use cases, notice to individuals, and lawful use of platform outputs.

Retention

Retention of operational and health-related data in customer deployments is defined by the customer agreement, BAA (if any), and the customer's configured retention settings.

Vokalith is designed as a HIPAA-ready platform for healthcare workflows: PHI is encrypted in transit and at rest, access controls and audit logging are applied, and BAAs are available for customers and for key processors that handle PHI.
We maintain administrative, technical, and organizational measures appropriate to our role as a technology vendor. No system can guarantee absolute security.
Your Rights

Requests related to patient or claimant data held in a customer's Vokalith deployment should generally be directed to that customer organization; we will assist customers as required under our agreements.
